Privacy Policy
This policy explains what Detail Hub NL collects when you book or enquire, why we collect it, who we share it with, and the choices you have. By booking an appointment, sending an enquiry, or messaging us, you agree to the handling described here. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who we are
Detail Hub NL is a mobile auto detailing business serving St. John's, Mount Pearl, Paradise, CBS and the surrounding communities in Newfoundland and Labrador. We are the operator of this website and the party responsible for the information described below. You can reach us any time at thedetailhubnl@gmail.com or on Instagram.
2. Information we collect
2.1 Booking details. When you book, we collect your name, phone number, email address, the vehicle and service you selected, the soiling level you indicated, any add-ons, the service address and postal code, the date and time, and details about the space where we will work such as whether a driveway, water or power is available. Anything you type into the notes field is stored with the booking.
2.2 Photos. If you upload photos of your vehicle's interior so we can prepare, those images are stored with your booking. Please do not include people, documents or anything you would not want kept.
2.3 Enquiries and waitlist. If you send a special request (for example an RV, boat, trailer or fleet) or join the waitlist for a date, we collect your name, phone number, email where given, and the details of what you are asking for.
2.4 Messages. When you reply to our texts or emails, or message us on social media, we keep those messages so we can answer you and keep a record of what was agreed.
2.5 Technical information. Like most websites, our server records limited technical data such as your IP address and browser type, and it logs errors so we can fix pages that break. The booking page also reports script errors to us so a form that fails on your phone is visible to us rather than silently costing you a booking.
3. Cookies and tracking
We use only the cookies needed to run the site and, when advertising is switched on, to measure it. If we are running Meta (Facebook and Instagram) advertising, the Meta Pixel may set cookies named _fbp and _fbc in your browser to connect an ad you clicked to a booking you completed. We do not use these cookies to build a profile of your browsing across other sites, and we do not run advertising or analytics cookies inside the admin area. You can block or clear cookies in your browser at any time; the booking form will still work.
4. How we use your information
We use what we collect to:
• Confirm, schedule, remind you about, and carry out your appointment.
• Send you your booking confirmation, a manage link, and receipts for work performed.
• Contact you about a deposit, a change to the job, or a question about the booking.
• Ask you for a review after a completed job, which you are free to decline.
• Quote special requests and let waitlisted customers know when a spot opens.
• Understand which channels our bookings come from, so we spend advertising money sensibly.
• Keep the site working, secure, and free of abuse.
5. Who we share it with
We do not sell your personal information, and we do not share it with anyone except the service providers we need to run the business. Each receives only what it needs for its task:
5.1 Text messages. Twilio delivers our text messages (confirmations, reminders, review requests and deposit notices). Your phone number and the message content pass through Twilio to reach you.
5.2 Email. Resend delivers our transactional email. Your email address and the message content pass through it.
5.3 Advertising measurement. When Meta advertising is switched on, we send Meta a record that a booking happened so our ads can be measured accurately. Identifiers such as your email, phone number and name are hashed (turned into an irreversible SHA-256 fingerprint) before they leave our server; Meta also receives your IP address, browser type, and the Meta cookies described above. This is used to match a booking to an ad and to improve ad targeting, not to tell the advertiser who you are.
5.4 Address suggestions. As you type a service address, we look it up to offer real addresses to pick from. Depending on configuration this runs through the Google Places API or the OpenStreetMap (Nominatim) geocoder. Only the partial address text you type is sent, never the rest of your booking.
5.5 Hosting. The website and its database run on Railway's cloud infrastructure, which stores the data on our behalf.
5.6 Reviews. If you choose to leave a Google review, that review is public on Google and may be shown on our website. That is your choice and is governed by Google's own terms.
5.7 AI drafting. To answer enquiries faster, we sometimes use Anthropic's Claude AI to draft a reply or a quote from the details of your message or request. When we do, the relevant content is sent to Anthropic only to produce that draft; it is not used to decide anything automatically, and a person reads and approves every message before it is sent to you. Nothing is shared with Anthropic for advertising.
5.8 Legal. We may disclose information where we are required to by law, or to establish or defend a legal claim.
6. Text and email consent
By giving us your number and booking, you consent to receive service messages about that booking. These are not marketing: they are the confirmation, reminders, deposit and review messages tied to your job. You can stop texts at any time by replying STOP, and you can ask us to stop emailing you by replying to any email or contacting us. We honour those requests.
7. Payments
We do not take card payments and we do not store card numbers. Deposits and balances are paid by cash or by Interac e-transfer to thedetailhubnl@gmail.com. An Interac transfer is handled entirely by your bank; the only thing that reaches us is the amount and the sender name your bank shows.
8. How we protect your booking
Your booking page and cancel or reschedule link are protected by a secret token that is texted only to you, so no one can reach your details by guessing a booking number. The site is served over HTTPS, and it is set not to leak that token to Instagram, Facebook or Google when you tap a link in the footer. No system is perfectly secure, but we take reasonable steps to protect what you give us.
9. How long we keep it
We keep booking and customer records for as long as needed to run the business, honour returning customer pricing, keep proper financial records, and meet our legal obligations. Enquiries that never become bookings, and intake photos that are no longer needed, are cleared out periodically. You can ask us to delete your information sooner, subject to any records we are required to keep.
10. Your choices and rights
You have the right to ask what personal information we hold about you, to have it corrected, and to ask us to delete it. You can withdraw consent to non-essential messages at any time. To make any of these requests, contact us at thedetailhubnl@gmail.com and we will respond within a reasonable time. If you are not satisfied with how we have handled a privacy concern, you may contact the Office of the Privacy Commissioner of Canada.
11. Children
This site and our services are meant for adults booking detailing for their own vehicle. We do not knowingly collect information from children.
12. Changes to this policy
We may update this policy as the business or the tools it uses change. The current version always lives at this page, and the date below shows when it last changed.
